Job Description

Scope of Position:

To provide support to the Village Manager in overseeing the entire Hoiana Staff Village in accordance with company policy.

Assisting the pre-opening set up and operation of the Staff Village

To ensure all Staff Village policies, procedures and regulations for all levels & residents of the Staff Village are maintained.

To work with other functional managers and peers on behalf of Staff Village Manager to manage & operate Staff Village in compliance with HR policies, practices and procedures.

To direct and coordinate the operation of Front Office, Reception, Reservation, Recreation.

To ensure a high level of resident satisfaction service from staff arrival through to their departure, contributes to staff satisfaction always by providing high quality services throughout their stay.

Playing Village Manager role when he is not present.

Responsibilities and Accountabilities:

Pre-Opening

  • Assists with the set up of the Hoiana Staff Village, including selection of FF&E, room décor, landscaping, room fit out, recreation facilities
  • Working in conjunction with the Catering Contractor, assist with the set up of the Food and Beverage facilities, including kitchens and dining room, staff bar and all F&B related functions
  • To assist the set up of the Staff Village Property Management System, ensuring that room allocations and accommodation reservations are conducted efficiently and in accordance with company policy
  • To assist with the implementation of Fire Life and Safety equipment and procedures, in conjunction with the Security Manager.
  • Working in conjunction with the Staff Village Manager, assist with the development of the Staff Village Operations Budget, both pre and post opening.
  • To assist with the development of the Staff Transportation timetable, in conjunction with the Transport Department.
  • Working in conjunction with Village Manager, develop a comprehensive set of Policies and Procedures for the Hoiana Staff Village
  • Working in conjunction with Village manager, develop an Onboarding and Orientation process for new residents
  • Source Third Party Business partners to set up and operate outlets within the Hoiana Staff Village; Hair Salon, Staff Bar, Minimart, Clinic etc.

Management and Administration

  • Controls tightly the occupancy of Staff Village on a regular basis and report to Village Manager.
  • Manages the daily room movements; check ins, departures, room moves, room allocations
  • Manages, controls the Daily/Weekly/Monthly report on Staff Village Occupancy and expenses: electrical, water, meal, laundry, internet, transportation, etc.
  • Responsible for controlling all confidential and financially related information of residents
  • Monitors the quality of catering provided by external contractor; meets regularly to discuss feedback from residents and to plan for future F&B offerings and events.
  • Conducts daily walk through the property to ensure the cleanliness and hygiene of the Staff Village.
  • Prepares all necessary datas and documents for Village Manager weekly meeting with Resort HR representatives to forecast and plan occupancy and room allocations and to discuss any issues from residents.

Safety and Security

  • Assists in managing or manages the Safety and Security of the Staff Village by implementing and ensuring a comprehensive Staff Village Code of Conduct is adhered to.
  • In conjunction with the Village Manager and the VP Security and Surveillance, ensures that the safety and security of residents is paramount; reviews the Staff Village Daily Report and follows up on all incidents.
  • Helps to ensures that the Staff Village Fire Safety is being managed in accordance with local regulations. In conjunction with VP Security and Surveillance, arranges regular audits on Fire and Emergency procedures and regular evacualtion drills.

Transportation Management

  • Monitors on a daily basis to ensure the resident transportation from staff village to Resort and to Da Nang and Hoi An is scheduled effectively

Staff Village Lifestyle

  • Being an important part of Hoiana Staff Village Community Committee to monitor resident satisfaction and collect feedback for improvement.
  • Responsible for creating and producing comprehensive recreation programs for residents.
  • Assisting to maintain & control gym equipments or other entertainment equipments as well as cinema room, library room, staff bar, etc.
  • Other tasks assigned by Staff Village Manager. 

Job Requirement

  • Bachelor degree and a higher education completed required.
  • Three years of experience as a Rooms Division Manager, Front Office Manager or large-scale Staff Accommodation Facility, or hospitality industry preferred
  • Pre-Opening period is essential
  • Experience in setting up a Hotel Property Management System is essential (Opera).
  • Ability to communicate fluently in the English and Vietnamese language. 
  • Exceptional and professional communication & presentation skills, both oral and written.
  • Effective at fostering productive relations with peers and residents
  • Well organized, multitask, detail oriented, problem solving.
  • Must be able to work self-directed, handle a fast-paced, busy, under pressure and meet deadlines with attention to detail.
  • Must have the ability to respond to handle difficult or stressful situations with tact and diplomacy.
  • Microsoft Office knowledge is required.
